Basic rules for designing a newsletter

Firstly, it should be stressed that a good newsletter is necessary to have quality content that will cover the reader. If the content is not useful to the final recipient, then appearance alone will not help to achieve its purpose. However, assuming you have valuable content, the right planning will help keep your reader’s interest in reading and buying services or products you are promoting.

The first impression is the most important

Before you start planning, think about what your audience is, what kind of images to include and style, formal or casual.

See existing artwork to find out what works best and what not. Templates can very well become your best friend. It is preferable to get data from a ready-made artwork, rather than drawing it from scratch. Test and combine different visual arts. Whether you are designing a newsletter for printing or for electronic distribution, there are some basic rules to help you look professional and easy to read. Below we will see some rules.



  • Set up should be based on a grid with proper alignment to show professional. Simply put, the content must be top-down and not the letters, paragraphs, and titles go left and right.


  • Use templates and follow the general formatting rules or create your own.

  • Divide the template into distinct parts, such as the header, body text, and footer.

  • Choose one with two different fonts of your choice for the entire body of text. Do not overdo it by putting 5-6 different fonts.


  • Highlight the important points of the email with bright colors that attract attention, just do not overdo it.


Excess always leads to false impressions. If your newsletter consists of many fonts, color contrasts, graphics and photos, the reader is likely to ignore it. Keep your content on a simple and understandable level.


  • Three or fewer different fonts and variations (eg bold, oblique, underlined)

  • Put fields (boxes) in full alignment, without excess.

  • Each page has at most two (2) photos or widgets.



  • An artistic without contrasts can be boring for the reader. Some ways to enrich it are:

  • Use fonts for titles in bold, sans serif (no drawings and angles).

  • Highlight some items you want. Do not be afraid, for example, to raise an image to be highlighted.


  • Include spaces between your texts to have space to recover and make it easier for the reader to read them.

  • Divide a large article into smaller pieces and add summaries to quotes so the reader understands what’s going on at each point.
